PRACTICAL POS GUIDE · KENYACustomer credit for toy shop POS in Kenya
This guide to customer credit for toy shop explains the daily checks. Record a credit sale of Toy car, then distinguish a later collection from a new toy shop sale. Keep the customer balance tied to the original transaction.
Customer credit for toy shop: agree what was supplied
Describe toy model, set contents and variant. A boxed set and its replacement pieces should not share the same stock count.
Balance example
| Event | KES |
|---|---|
| Credit sale: 2 × Toy car | 1,300 |
| Later collection | 650 |
| Remaining amount due | 650 |
The product quantity leaves stock at the time of the sale. The later collection reduces money owed; it does not sell the product again or deduct another unit. These are illustrative arithmetic examples, not customer records or a credit policy.
Keep the record understandable
- Choose the correct customer before completing the credit sale.
- Check the sale lines, total and outstanding amount.
- Record a later collection against the existing balance rather than creating another product sale.
- Review the balance with the customer and resolve discrepancies using the original sale and collection records.
- Restrict access to customer information and avoid putting real details into the public demo.
Returns need a supported route
A partially paid credit sale can make a return more complicated: stock, the remaining debt and any cash refund must stay consistent. The blocked partial-credit return workflow must not be bypassed by changing balances or creating a second sale. Use the supported workflow and investigate an exception before promising a refund.
What the worksheet does not do
The calculator subtracts collections from the original credit amount. It does not assess eligibility, calculate interest, send reminders, create customer records or authorise a collection. An amount above the original balance is flagged for review rather than silently treated as negative debt.
Product fit for this business
Use defined whole units and packs. The software is not a complete specialist ERP or double-entry accounting system.
All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.
Try the workflow before choosing your setup
The launch software licence is KES 4,999 once for one business installation, including its branches and tills. Hardware, installation, hosting, support and future upgrades have separate terms. These planning guides do not activate a licence or deploy an installation.
