Stock counting for butchery: count the same unit that you sell

Use labelled pre-packed cuts or fixed portions with whole quantities. Give each package size a separate item and price.

Separate unusable or spoiled packs before counting sellable stock. Do not use an adjustment to disguise a mismatch between packs and kilograms.

Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.

Investigate before changing the balance

  1. Recount Beef 1 kg using the catalogue unit.
  2. Check that a delivery of Goat 1 kg was not entered against Beef 1 kg.
  3. Compare receiving records and sales within the same branch and period.
  4. Separate damage, quarantine and customer returns from normal usable stock.
  5. Record the reason for a supported adjustment and keep the count evidence.
