PRACTICAL POS GUIDE · KENYAStock counting for vehicle service garage POS in Kenya
This guide to stock counting for vehicle service garage explains the daily checks. Reconcile the physical count of Oil change labour with deliveries and sales. A stock difference should be explained before it is adjusted.
Stock counting for vehicle service garage: count the same unit that you sell
Record agreed labour services and parts as distinct line items. An oil-change service must specify whether oil and filter are included.
For services, a quantity may represent a defined sale unit rather than physical shelf stock. Do not treat it as a booking or staff availability calendar.
Worked reconciliation
| Movement | Oil change labour units |
|---|---|
| Opening usable count | 20 |
| Received from supplier | +10 |
| Sold | −4 |
| Expected remaining | 26 |
| Physical count | 25 |
| Difference to investigate | −1 |
Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.
Investigate before changing the balance
- Recount Oil change labour using the catalogue unit.
- Check that a delivery of Wheel alignment service was not entered against Oil change labour.
- Compare receiving records and sales within the same branch and period.
- Separate damage, quarantine and customer returns from normal usable stock.
- Record the reason for a supported adjustment and keep the count evidence.
What the worksheet leaves out
