Stock counting for seed and fertiliser shop POS in Kenya

This guide to stock counting for seed and fertiliser shop explains the daily checks. Reconcile the physical count of Seed packet with deliveries and sales. A stock difference should be explained before it is adjusted.

Stock counting for seed and fertiliser shop: count the same unit that you sell

Record crop variety, pack size and supplier batch details. Seeds and fertiliser may have similar packaging but different handling requirements.

Keep entered batch information alongside the count. Expired or quarantined tracked units should not be treated as ordinary usable stock; the merchant supplies the relevant batch dates.

Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.

Investigate before changing the balance

  1. Recount Seed packet using the catalogue unit.
  2. Check that a delivery of Fertiliser sealed bag was not entered against Seed packet.
  3. Compare receiving records and sales within the same branch and period.
  4. Separate damage, quarantine and customer returns from normal usable stock.
  5. Record the reason for a supported adjustment and keep the count evidence.

What the worksheet leaves out

This worksheet covers opening units, receipts and sales only. Add recorded returns, voids and adjustments when reconciling real records. It is not a stock reservation service, a batch allocator or proof that two offline devices have the same available balance.

Product fit for this business

Entered batch and expiry records support stock control. Prescription, veterinary and controlled-product compliance workflows are not included.

All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.
