PRACTICAL POS GUIDE · KENYA

Stock counting for greengrocer POS in Kenya

This guide to stock counting for greengrocer explains the daily checks. Reconcile the physical count of Tomatoes 1 kg with deliveries and sales. A stock difference should be explained before it is adjusted.

Stock counting for greengrocer: count the same unit that you sell

Use a defined bag, bunch, tray or piece as the selling unit. A cabbage sold by piece should not share an item with a mixed vegetable bag.

Separate unusable or spoiled packs before counting sellable stock. Do not use an adjustment to disguise a mismatch between packs and kilograms.

Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.

Investigate before changing the balance

  1. Recount Tomatoes 1 kg using the catalogue unit.
  2. Check that a delivery of Bananas bunch was not entered against Tomatoes 1 kg.
  3. Compare receiving records and sales within the same branch and period.
  4. Separate damage, quarantine and customer returns from normal usable stock.
  5. Record the reason for a supported adjustment and keep the count evidence.

What the worksheet leaves out

This worksheet covers opening units, receipts and sales only. Add recorded returns, voids and adjustments when reconciling real records. It is not a stock reservation service, a batch allocator or proof that two offline devices have the same available balance.

Product fit for this business

Use whole, pre-packed or fixed-count units. Fractional-weight selling and connected weighing scales are not included.

All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.

Try the workflow before choosing your setup

The launch software licence is US.99 once for one business installation, including its branches and tills. Hardware, installation, hosting, support and future upgrades have separate terms. These planning guides do not activate a licence or deploy an installation.
