PRACTICAL POS GUIDE · KENYACatalogue setup for greengrocer POS in Kenya
This guide to catalogue setup for greengrocer explains the daily checks. Prepare the greengrocer catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Tomatoes 1 kg, Bananas bunch and Spinach bundle as examples.
Catalogue setup for greengrocer: decide what one quantity means
Use a defined bag, bunch, tray or piece as the selling unit. A cabbage sold by piece should not share an item with a mixed vegetable bag.
A piece, labelled pack or fixed container must have an unambiguous size. Do not label a variable-weight product as one generic unit and expect the POS to measure it.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Tomatoes 1 kg | fixed pack | 120 | Count actual units |
| Bananas bunch | piece | 100 | Count actual units |
| Spinach bundle | piece | 40 | Count actual units |
| Potatoes sealed 2 kg | fixed pack | 200 | Count actual units |
| Onion net 1 kg | fixed pack | 120 | Count actual units |
| Cabbage head | piece | 80 | Count actual units |
Load and rehearse in this order
- Check that Tomatoes 1 kg has a clear name, unit, price and unique item code.
- Distinguish Bananas bunch from Tomatoes 1 kg; a similar name must not hide a different pack.
- Count usable Tomatoes 1 kg units and record that physical opening quantity.
- On sample records, sell two Tomatoes 1 kg units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Tomatoes 1 kg was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
