PRACTICAL POS GUIDE · KENYACatalogue setup for dairy shop POS in Kenya
This guide to catalogue setup for dairy shop explains the daily checks. Prepare the dairy shop catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Fresh milk 1 L, Yoghurt 500 ml and Mala 500 ml as examples.
Catalogue setup for dairy shop: decide what one quantity means
Make bottle volume and pack count visible in the name, particularly when small and large containers sit together.
A piece, labelled pack or fixed container must have an unambiguous size. Do not label a variable-weight product as one generic unit and expect the POS to measure it.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Fresh milk 1 L | fixed pack | 100 | Count actual units |
| Yoghurt 500 ml | fixed pack | 180 | Count actual units |
| Mala 500 ml | fixed pack | 90 | Count actual units |
| Butter 250 g | fixed pack | 350 | Count actual units |
| Cheese 250 g | fixed pack | 450 | Count actual units |
| Ghee 500 g | fixed pack | 600 | Count actual units |
Load and rehearse in this order
- Check that Fresh milk 1 L has a clear name, unit, price and unique item code.
- Distinguish Yoghurt 500 ml from Fresh milk 1 L; a similar name must not hide a different pack.
- Count usable Fresh milk 1 L units and record that physical opening quantity.
- On sample records, sell two Fresh milk 1 L units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Fresh milk 1 L was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
