PRACTICAL POS GUIDE · KENYAStock counting for bookshop POS in Kenya
This guide to stock counting for bookshop explains the daily checks. Reconcile the physical count of Exercise book with deliveries and sales. A stock difference should be explained before it is adjusted.
Stock counting for bookshop: count the same unit that you sell
Distinguish edition, level and subject when books have similar covers. A revision book and a full textbook should be separate catalogue entries.
Separate usable stock from damaged or returned goods awaiting a decision. A shelf total is meaningful only when the counted pack matches the item definition.
Worked reconciliation
| Movement | Exercise book units |
|---|---|
| Opening usable count | 20 |
| Received from supplier | +10 |
| Sold | −4 |
| Expected remaining | 26 |
| Physical count | 25 |
| Difference to investigate | −1 |
Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.
Investigate before changing the balance
- Recount Exercise book using the catalogue unit.
- Check that a delivery of Ballpoint pen was not entered against Exercise book.
- Compare receiving records and sales within the same branch and period.
- Separate damage, quarantine and customer returns from normal usable stock.
- Record the reason for a supported adjustment and keep the count evidence.
What the worksheet leaves out
This worksheet covers opening units, receipts and sales only. Add recorded returns, voids and adjustments when reconciling real records. It is not a stock reservation service, a batch allocator or proof that two offline devices have the same available balance.

Use defined whole units and packs. The software is not a complete specialist ERP or double-entry accounting system.
All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.
Try the workflow before choosing your setup
The launch software licence is US.99 once for one business installation, including its branches and tills. Hardware, installation, hosting, support and future upgrades have separate terms. These planning guides do not activate a licence or deploy an installation.
