PRACTICAL POS GUIDE · KENYACatalogue setup for bookshop POS in Kenya
This guide to catalogue setup for bookshop explains the daily checks. Prepare the bookshop catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Exercise book, Ballpoint pen and Geometry set as examples.
Catalogue setup for bookshop: decide what one quantity means
Distinguish edition, level and subject when books have similar covers. A revision book and a full textbook should be separate catalogue entries.
Describe the actual pack the customer receives. Avoid using the same entry for a sealed box and a loose piece unless the chosen stock workflow explicitly supports that conversion.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Exercise book | piece | 80 | Count actual units |
| Ballpoint pen | piece | 20 | Count actual units |
| Geometry set | set | 250 | Count actual units |
| Kiswahili reader | piece | 350 | Count actual units |
| Mathematics revision book | piece | 650 | Count actual units |
| Dictionary | piece | 900 | Count actual units |
Load and rehearse in this order
- Check that Exercise book has a clear name, unit, price and unique item code.
- Distinguish Ballpoint pen from Exercise book; a similar name must not hide a different pack.
- Count usable Exercise book units and record that physical opening quantity.
- On sample records, sell two Exercise book units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Exercise book was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.

Product fit for this business
Use defined whole units and packs. The software is not a complete specialist ERP or double-entry accounting system.
All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.
Try the workflow before choosing your setup
