PRACTICAL POS GUIDE · KENYACatalogue setup for wholesale shop POS in Kenya
This guide to catalogue setup for wholesale shop explains the daily checks. Prepare the wholesale shop catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Rice sack, Sugar bale and Soap carton as examples.
Catalogue setup for wholesale shop: decide what one quantity means
Define carton, bale and single-piece units before setting retail and wholesale prices. Record exactly what quantity a tier price applies to.
Describe the actual pack the customer receives. Avoid using the same entry for a sealed box and a loose piece unless the chosen stock workflow explicitly supports that conversion.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Rice sack | sack | 3,200 | Count actual units |
| Sugar bale | bale | 2,400 | Count actual units |
| Soap carton | carton | 1,800 | Count actual units |
| Flour bale 12×2 kg | bale | 2,100 | Count actual units |
| Rice sack 25 kg | sack | 3,500 | Count actual units |
| Detergent carton 12 packs | carton | 2,400 | Count actual units |
Load and rehearse in this order
- Check that Rice sack has a clear name, unit, price and unique item code.
- Distinguish Sugar bale from Rice sack; a similar name must not hide a different pack.
- Count usable Rice sack units and record that physical opening quantity.
- On sample records, sell two Rice sack units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Rice sack was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
