PRACTICAL POS GUIDE · KENYA

Catalogue setup for supermarket POS in Kenya

This guide to catalogue setup for supermarket explains the daily checks. Prepare the supermarket catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Rice 2 kg, Cooking oil 1 L and Laundry powder as examples.

Catalogue setup for supermarket: decide what one quantity means

Separate shelf products by pack size even when their names look identical. Cashiers should recognise the unit from the barcode result before adding another quantity.

Describe the actual pack the customer receives. Avoid using the same entry for a sealed box and a loose piece unless the chosen stock workflow explicitly supports that conversion.

A starter catalogue to adapt

The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.

Load and rehearse in this order

  1. Check that Rice 2 kg has a clear name, unit, price and unique item code.
  2. Distinguish Cooking oil 1 L from Rice 2 kg; a similar name must not hide a different pack.
  3. Count usable Rice 2 kg units and record that physical opening quantity.
  4. On sample records, sell two Rice 2 kg units and confirm only that item reduces by two.
  5. Review the receipt and backup before entering real business records.

Correct the catalogue without hiding a stock difference

If Rice 2 kg was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.

Product fit for this business

Use defined whole units and packs. The software is not a complete specialist ERP or double-entry accounting system.

All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.

Try the workflow before choosing your setup

The launch software licence is KES 4,999 once for one business installation, including its branches and tills. Hardware, installation, hosting, support and future upgrades have separate terms. These planning guides do not activate a licence or deploy an installation.
