PRACTICAL POS GUIDE · KENYACatalogue setup for restaurant POS in Kenya
This guide to catalogue setup for restaurant explains the daily checks. Prepare the restaurant catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Chicken & chips, Beef stew & rice and Fresh juice as examples.
Catalogue setup for restaurant: decide what one quantity means
Create a separate sellable item for each fixed meal or portion. A plate of food is the sales unit; the ingredients used to prepare it are a different stock problem.
A finished meal or fixed portion is the checkout unit. Record preparation ingredients separately; this preset does not calculate recipes or food cost from ingredient use.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Chicken & chips | portion | 550 | Count actual units |
| Beef stew & rice | portion | 400 | Count actual units |
| Fresh juice | portion | 150 | Count actual units |
| Pilau plate | plate | 300 | Count actual units |
| Chapati pair | pair | 80 | Count actual units |
| Soda 300 ml | portion | 60 | Count actual units |
Load and rehearse in this order
- Check that Chicken & chips has a clear name, unit, price and unique item code.
- Distinguish Beef stew & rice from Chicken & chips; a similar name must not hide a different pack.
- Count usable Chicken & chips units and record that physical opening quantity.
- On sample records, sell two Chicken & chips units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Chicken & chips was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
