PRACTICAL POS GUIDE · KENYACatalogue setup for cereals shop POS in Kenya
This guide to catalogue setup for cereals shop explains the daily checks. Prepare the cereals shop catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Beans sealed 1 kg, Green grams sealed 1 kg and Maize flour 2 kg as examples.
Catalogue setup for cereals shop: decide what one quantity means
Use sealed bags or fixed pre-packed quantities with explicit sizes. Separate rice, beans and maize by grade or pack where prices differ.
Describe the actual pack the customer receives. Avoid using the same entry for a sealed box and a loose piece unless the chosen stock workflow explicitly supports that conversion.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Beans sealed 1 kg | fixed pack | 180 | Count actual units |
| Green grams sealed 1 kg | fixed pack | 220 | Count actual units |
| Maize flour 2 kg | fixed pack | 160 | Count actual units |
| Pishori rice sealed 1 kg | fixed pack | 200 | Count actual units |
| Red kidney beans sealed 1 kg | fixed pack | 200 | Count actual units |
| Lentils sealed 1 kg | fixed pack | 250 | Count actual units |
Load and rehearse in this order
- Check that Beans sealed 1 kg has a clear name, unit, price and unique item code.
- Distinguish Green grams sealed 1 kg from Beans sealed 1 kg; a similar name must not hide a different pack.
- Count usable Beans sealed 1 kg units and record that physical opening quantity.
- On sample records, sell two Beans sealed 1 kg units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Beans sealed 1 kg was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
