This guide to stock counting for catering service explains the daily checks. Reconcile the physical count of Lunch plate with deliveries and sales. A stock difference should be explained before it is adjusted.
Stock counting for catering service: count the same unit that you sell
Define an agreed package or fixed service unit before preparing the invoice. Specify whether quantity represents guests, trays or packages.
Count finished sale portions at the counter. A sale of one portion does not automatically deduct its recipe ingredients, so ingredient reconciliation needs its own process.

Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.
Investigate before changing the balance
- Recount Lunch plate using the catalogue unit.
- Check that a delivery of Tea flask service was not entered against Lunch plate.
- Compare receiving records and sales within the same branch and period.
- Separate damage, quarantine and customer returns from normal usable stock.
- Record the reason for a supported adjustment and keep the count evidence.
What the worksheet leaves out
This worksheet covers opening units, receipts and sales only. Add recorded returns, voids and adjustments when reconciling real records. It is not a stock reservation service, a batch allocator or proof that two offline devices have the same available balance.
