PRACTICAL POS GUIDE · KENYA

Catalogue setup for auto spares POS in Kenya

This guide to catalogue setup for auto spares explains the daily checks. Prepare the auto spares catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Engine oil 1 L, Air filter and Wiper pair as examples.

Catalogue setup for auto spares: decide what one quantity means

Include part number, manufacturer and vehicle fit in product descriptions. A single part and a boxed set should be different units.

Create separate entries for the variants customers can buy. A different size or model needs its own stock count, even if it shares a family name with another item.

A starter catalogue to adapt

The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.

Load and rehearse in this order

  1. Check that Engine oil 1 L has a clear name, unit, price and unique item code.
  2. Distinguish Air filter from Engine oil 1 L; a similar name must not hide a different pack.
  3. Count usable Engine oil 1 L units and record that physical opening quantity.
  4. On sample records, sell two Engine oil 1 L units and confirm only that item reduces by two.
  5. Review the receipt and backup before entering real business records.

Correct the catalogue without hiding a stock difference

If Engine oil 1 L was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.

Product fit for this business

Separate sizes, colours and models can use separate items. Serial numbers, IMEI custody, warranty and repair ledgers are not included.

All amounts and product movements on this page are illustrative. The public demo uses sample records. Use an isolated test installation for rehearsal and replace sample prices and counts before real trading.

Try the workflow before choosing your setup

The launch software licence is KES 4,999 once for one business installation, including its branches and tills. Hardware, installation, hosting, support and future upgrades have separate terms. These planning guides do not activate a licence or deploy an installation.
