PRACTICAL POS GUIDE · KENYAStock counting for agrovet POS in Kenya
This guide to stock counting for agrovet explains the daily checks. Reconcile the physical count of Animal feed bag with deliveries and sales. A stock difference should be explained before it is adjusted.
Stock counting for agrovet: count the same unit that you sell
Keep sealed feed bags, seed packs and garden equipment separate, with supplier references and batch details where relevant.
Keep entered batch information alongside the count. Expired or quarantined tracked units should not be treated as ordinary usable stock; the merchant supplies the relevant batch dates.
Worked reconciliation
| Movement | Animal feed bag units |
|---|---|
| Opening usable count | 20 |
| Received from supplier | +10 |
| Sold | −4 |
| Expected remaining | 26 |
| Physical count | 25 |
| Difference to investigate | −1 |
Expected stock = opening units + received units − sold units, before returns or adjustments. Here 20 + 10 − 4 = 26. The physical count is one lower. Check deliveries, damage and unrecorded movement before deciding the reason.
Investigate before changing the balance
- Recount Animal feed bag using the catalogue unit.
- Check that a delivery of Garden seed pack was not entered against Animal feed bag.
- Compare receiving records and sales within the same branch and period.
- Separate damage, quarantine and customer returns from normal usable stock.
- Record the reason for a supported adjustment and keep the count evidence.
What the worksheet leaves out
