PRACTICAL POS GUIDE · KENYACatalogue setup for agrovet POS in Kenya
This guide to catalogue setup for agrovet explains the daily checks. Prepare the agrovet catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Animal feed bag, Garden seed pack and Watering can as examples.
Catalogue setup for agrovet: decide what one quantity means
Keep sealed feed bags, seed packs and garden equipment separate, with supplier references and batch details where relevant.
Use the labelled sale pack and enter supplier and batch information where applicable. The catalogue is a stock record, not permission to dispense or supply regulated goods.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Animal feed bag | bag | 2,400 | Count actual units |
| Garden seed pack | pack | 180 | Count actual units |
| Watering can | piece | 650 | Count actual units |
| Calf milk replacer sealed bag | bag | 3,200 | Count actual units |
| Mineral supplement sealed 1 kg | fixed pack | 450 | Count actual units |
| Poultry feeder | piece | 500 | Count actual units |
Load and rehearse in this order
- Check that Animal feed bag has a clear name, unit, price and unique item code.
- Distinguish Garden seed pack from Animal feed bag; a similar name must not hide a different pack.
- Count usable Animal feed bag units and record that physical opening quantity.
- On sample records, sell two Animal feed bag units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Animal feed bag was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
