PRACTICAL POS GUIDE · KENYACatalogue setup for bakery POS in Kenya
This guide to catalogue setup for bakery explains the daily checks. Prepare the bakery catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Sourdough loaf, Croissant and Cupcake as examples.
Catalogue setup for bakery: decide what one quantity means
Separate a loaf, a bun pack and an individual slice rather than giving them one ambiguous product name. Record the finished items received at the counter.
A finished meal or fixed portion is the checkout unit. Record preparation ingredients separately; this preset does not calculate recipes or food cost from ingredient use.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Sourdough loaf | portion | 350 | Count actual units |
| Croissant | portion | 180 | Count actual units |
| Cupcake | portion | 120 | Count actual units |
| Brown loaf | portion | 100 | Count actual units |
| Doughnut | portion | 80 | Count actual units |
| Birthday cake 1 kg | portion | 1,800 | Count actual units |
Load and rehearse in this order
- Check that Sourdough loaf has a clear name, unit, price and unique item code.
- Distinguish Croissant from Sourdough loaf; a similar name must not hide a different pack.
- Count usable Sourdough loaf units and record that physical opening quantity.
- On sample records, sell two Sourdough loaf units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Sourdough loaf was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
