PRACTICAL POS GUIDE · KENYACatalogue setup for party supplies shop POS in Kenya
This guide to catalogue setup for party supplies shop explains the daily checks. Prepare the party supplies shop catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Balloon pack, Paper plate pack and Party banner as examples.
Catalogue setup for party supplies shop: decide what one quantity means
Separate disposable packs, decorations and fixed services. State pack counts so staff do not sell a whole packet at a single-piece price.
Describe the actual pack the customer receives. Avoid using the same entry for a sealed box and a loose piece unless the chosen stock workflow explicitly supports that conversion.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| Balloon pack | pack | 250 | Count actual units |
| Paper plate pack | plate | 180 | Count actual units |
| Party banner | piece | 350 | Count actual units |
| Birthday candle pack | pack | 100 | Count actual units |
| Disposable cup pack 20 | cup | 150 | Count actual units |
| Party hat pack 10 | pack | 200 | Count actual units |
Load and rehearse in this order
- Check that Balloon pack has a clear name, unit, price and unique item code.
- Distinguish Paper plate pack from Balloon pack; a similar name must not hide a different pack.
- Count usable Balloon pack units and record that physical opening quantity.
- On sample records, sell two Balloon pack units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If Balloon pack was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
