PRACTICAL POS GUIDE · KENYA

Catalogue setup for ice cream parlour POS in Kenya

This guide to catalogue setup for ice cream parlour explains the daily checks. Prepare the ice cream parlour catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses Vanilla cup, Chocolate cup and Ice lolly as examples.

Catalogue setup for ice cream parlour: decide what one quantity means

Define a scoop count, cup size or sealed tub as the unit. Keep sealed retail stock separate from served portions.

A finished meal or fixed portion is the checkout unit. Record preparation ingredients separately; this preset does not calculate recipes or food cost from ingredient use.

A starter catalogue to adapt

The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.

Load and rehearse in this order

  1. Check that Vanilla cup has a clear name, unit, price and unique item code.
  2. Distinguish Chocolate cup from Vanilla cup; a similar name must not hide a different pack.
  3. Count usable Vanilla cup units and record that physical opening quantity.
  4. On sample records, sell two Vanilla cup units and confirm only that item reduces by two.
  5. Review the receipt and backup before entering real business records.

Correct the catalogue without hiding a stock difference

If Vanilla cup was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.
