PRACTICAL POS GUIDE · KENYACatalogue setup for stationery & printing POS in Kenya
This guide to catalogue setup for stationery & printing explains the daily checks. Prepare the stationery & printing catalogue before the first sale: choose the selling unit, separate similar items and enter counted opening stock. This guide uses A4 copy, Binding service and Notebook as examples.
Catalogue setup for stationery & printing: decide what one quantity means
Separate stocked stationery from fixed printing services. For printing, define whether one service unit means a page, a sheet or a bound job.
Define the service being charged and its fixed unit. Recording one service sale does not reserve an appointment, create a job card or track an item left for repair.
A starter catalogue to adapt
The figures below are illustrative preset prices, not market quotations. They do not describe your stock. Replace them before trading.
| Item or service | Sale unit | Sample KES price | Opening count |
|---|---|---|---|
| A4 copy | slot | 10 | Count actual units |
| Binding service | slot | 150 | Count actual units |
| Notebook | slot | 200 | Count actual units |
| Lamination A4 | slot | 100 | Count actual units |
| Envelope C5 pack | pack | 100 | Count actual units |
| Stapler | slot | 350 | Count actual units |
Load and rehearse in this order
- Check that A4 copy has a clear name, unit, price and unique item code.
- Distinguish Binding service from A4 copy; a similar name must not hide a different pack.
- Count usable A4 copy units and record that physical opening quantity.
- On sample records, sell two A4 copy units and confirm only that item reduces by two.
- Review the receipt and backup before entering real business records.
Correct the catalogue without hiding a stock difference
If A4 copy was named incorrectly, correct the name. If its quantity is wrong, investigate the count and record an explained adjustment. Editing a price or changing a description does not explain missing units. Keep old transactions readable when deciding how to rename an item.

These checkboxes are a temporary reading aid. Refreshing the page clears them.
